About This Event
The WEI (Integration Weekend) is a key event for newcomers at INSA. This seaside getaway is a festive occasion to build bonds and discover student life as a class. Hosted in a 5-star campsite, participants enjoy unforgettable parties and activities designed to foster connections.
While the WEI creates lasting memories, its organization is demanding. Every detail is carefully planned to ensure a safe and enjoyable experience. Special attention is given to supervision, as many participants are underage. This includes managing parental authorizations, coordinating with the campsite, and enforcing strict safety measures.
Role & Responsibilities
As Head of Communications and Registrations, my role was to promote the event and streamline the registration process. I managed €30,000 in expenses and handled over 400 security deposits for the campsite bungalows.
The organization required collecting parental authorizations for underage students and allocating hundreds of bungalows based on precise criteria. It also involved negotiating rates and availability with the owners. During the event, I dealt with last-minute issues such as housing conflicts or cancellations.
Communication played a key role in attracting participants, keeping them informed, and generating excitement. I carried out drone footage, secured government authorizations, and used professional photo/video equipment to create content before, during, and after the event. These materials not only captured the experience but also helped promote the event for future editions.
